Position Title: Executive Assistant
Business Unit: Research and Development
Department: Executive Vice-President and Head of Research and Development and President
Reports To: Executive Vice-President/Head of Research and Development

Essential duties & responsibilities:

  • Interface professionally with C-suite and senior level internal and external people demonstrating a high degree of professionalism.
  • Complex calendar management with extensive global travel including accountability for meeting commitments and deadlines, prioritizing meetings and keep updated on calendar changes.
  • Organize and manage both local and global meetings, both on and off-site, which may include extensive arrangements, depending on the nature of the meeting and the location of the participants.
  • Document preparation and management, including drafting, editing and proofing different types of documents, including agreements, memos, correspondence and presentation materials (e.g., PowerPoint presentations), and managing complex editorial changes to documents from multiple parties. Includes copying, distribution (internal & external) & follow-up, and coordination as needed with other staff, such as routing, signature and delivery of contracts.
  • Arrange and coordinate travel schedules and itineraries using resources and knowledge of airlines, airports, ground transportation, accommodations, etc., to make thoughtful and efficient travel plans, taking into account corporate policies and individual preferences, as well as budget and time constraints.
  • Manage business expense reports and ensuring expenses are submitted and approved on a timely basis • Review and approve team’s expense reports
  • Manage daily mail and prioritize the distribution.
  • Registration at workshops and seminars

 

Core Competencies / Knowledge & Skill Requirements:

  • Demonstrate leadership.
  • Problem solving and project management.
  • Proficiency in Microsoft applications (Word, Excel, PowerPoint, Sharepoint and Outlook). Exceptional, timely, accurate and dependable word processing abilities a must, including handling high volumes of requests and multiple priorities.
  • Strong organizational skills to set priorities and manage multiple projects in a fast-paced and changing environment while coordinating the workload with minimum supervision.
  • Demonstrates good judgment, initiative, reliability, accountability, accuracy, professionalism, teamwork and problem solving.
  • Proven ability for calendar management, organizational, prioritization/time management and follow through skills.
  • Proven ability to identify, drive/coordinate independent projects to enhance learning curve and maximize contribution to fulfillment of corporate objectives • Dedication, with initiative and ability to proactively identify needs without being asked.
  • Proven ability to remain focused in situations involving multiple interruptions. • Proven ability to see the big picture, while keeping an eye on the detail.
  • Creative approaches to problem solving.
  • Ability to handle confidential information in an appropriate manner.
  • Work independently and within a team on ad hoc and ongoing projects.
  • Ability to consistently deliver excellent work product. Education, Experience & Training Required • Minimum of bachelor’s degree • Minimum of 8 years of Executive Assistance experience supporting C level executive
  • Prior experience supporting Research & Development in a corporate environment preferred. • Comparable mix of work experience and education acceptable.

Communication & Interpersonal Skills:

  • Fluent English and French speaking required.
  • Excellent verbal and written communication skills. Maintain composure and diplomacy when working under pressure, deadlines, and tenuous or ambiguous circumstances.
  • Ability to tactfully handle various situations and make decisions in a professional and unbiased manner.
